1. Who is responsible for your data?
Your business controls the customer, employee, supplier and transaction records it enters into Systemy. It decides who can access those records and how they are used for its business activities.
Raqmia Technologies processes business data on the business's behalf when providing the agreed hosting, maintenance or support services. Raqmia is responsible for information it handles for its own customer relationships, service administration and support requests.
2. Data handled by each app
Systemy app: account and business details, contact records, and the sales, orders, invoices, purchases, expenses, products, inventory and employee information made available by your business. Access depends on the enabled modules and your permissions.
Systemy POS app: staff and cashier sign-in information, customer names and contact details entered by staff, product and stock information, sales and order lines, payment records, receipts, notes, and the company logo and printer settings configured by the business.
The apps handle authentication credentials or session identifiers to connect to your business system. Information may be cached on your device and synchronized with that system. Business records can be linked to a customer, employee or user account.
When you contact support, we receive the contact details, messages, screenshots or diagnostic information you choose to provide. Do not send passwords, cashier PINs or complete payment card details.
3. How information is used
Information is used to sign users in, apply access permissions, display business records and reports, process the transactions requested by authorized users, synchronize records, print receipts, provide support and maintain service security.
We do not sell personal information or share it for cross-context behavioural advertising. Systemy POS app does not use third-party advertising or tracking SDKs to track users across other companies' apps and websites.
4. Hosting, access and service providers
The apps connect to the business system configured for your organization. That system may be hosted by Raqmia Technologies, by the business itself or by another provider under the business's hosting arrangement. A separate business database does not mean that Raqmia never hosts or processes its data.
Authorized business administrators can access records within their permissions. Hosting, infrastructure and support providers may process information as needed to deliver the agreed service. Access is limited to the service purpose and subject to applicable data-protection obligations.
When your business enables a payment gateway or another integration, information needed for that transaction or service is handled by the configured provider. Receipt printing sends the selected receipt information to the printer configured by the business. Third-party services are also subject to their own privacy policies.
Data may be processed outside your country according to the hosting and service providers used. Contact us or your business administrator for the hosting arrangement that applies to your account. We do not represent that all business data stays in Qatar.
Information may also be disclosed where required by applicable law or necessary to address security incidents and protect legal rights.
5. Device permissions and website cookies
In Systemy POS app, camera access supports barcode scanning, local-network access supports compatible printers, and the photo or file picker lets a manager select a company logo. The available permissions depend on the app version and device.
Where a feature requests a device permission, its purpose is shown in the permission request. You can manage permissions in your device settings; a feature may stop working if its required permission is denied.
The website uses cookies needed for functions such as sessions and language selection. You can manage cookies in your browser settings. Disabling necessary cookies may affect website functions.
6. Retention and deletion
Business records are retained according to the business's operational needs, service arrangements and applicable legal obligations. Information handled by Raqmia for its own service administration and support is retained for those purposes and any applicable legal requirements.
A deletion request is assessed for the account and data concerned. Data no longer needed is deleted or anonymized, while records that must be retained are restricted to the reason for retention. Retention periods differ by record type and applicable law; there is no single period that applies to every business.
Deleting the app, signing out or archiving a staff record does not by itself delete server-side personal data. Backup copies may remain until the applicable backup retention cycle expires. The deletion process and any records retained are explained on our account and data deletion page.
7. Security
We use access controls and technical and organizational safeguards appropriate to the services we provide. Use a secure connection to your business system, protect your devices and do not share credentials. No service can guarantee absolute security. Report a suspected vulnerability to our contact address below.
8. Your rights and requests
Depending on applicable law, including Qatar's personal data protection requirements where applicable, you may request access, correction, deletion or a copy of your personal data, object to or restrict processing, withdraw consent where processing relies on consent, and raise a complaint with the relevant authority. Exercising a right is subject to the conditions and exceptions in the applicable law.
For records controlled by your business, contact its administrator. You can also contact Raqmia, and we will handle requests relating to data under our responsibility or help route business-controlled requests to the appropriate organization. We may verify your identity and authority before acting.
We aim to acknowledge requests within 7 days and provide a substantive response within 30 days, subject to any shorter legal deadline. If more time is permitted and needed, we will explain the reason and expected timing.
9. Children
Systemy app and Systemy POS app are business tools intended for authorized business users, not services directed at children. If you believe a child has provided personal data inappropriately, contact us and the business responsible for the records so the matter can be reviewed and addressed.
10. Policy updates and contact
We update this page when our privacy information changes and show the revision date above. Where a change requires notice or consent under applicable law, that requirement applies. English and Arabic versions describe the same policy.
